Setting Up Internal Pledge Notifications

When a pledge successfully processes (or even if it fails to process), both your staff and the donor can get a notification.

Internal Staff Notifications

You can configure an internal notification so that your staff receives an email when pledges are processed. It will provide a list of process pledges, whether or not they processed, and if they didn’t, it will give you an error as to why.

Navigate to the Content Management Module, and in the CMS categories section, select Emails, open the SystemsEmails tree and select the Pledge Processor Notification.

Internal notifications can be minimally edited as they don’t need to be – they are system emails that notify staff. In the last field, enter the email/s of the staff who you want to receive notifications. Note the instructions on entering multiple. Save your changes.

Pledges are rounded together by day – regardless of what time they process. The night that pledges are run, the staff member that you assigned will receive an email with an attachment showing which pledges were and were not processed. This will highlight the pledges that were processed and the ones that have failed, which will now have a pledge status of suspended back in C360.

You staff can typically correct the suspended pledged by updating the credit card information associated with the pledge – the most common reason for pledges not running.

Important to note:

If a pledge has an error and does not process, it will try again the next month, occasionally confusing donors as to why they were double-charged. Set up pledge notifications to ensure you are ahead of the errors.

You can also configure an email asset to notify your donor that their pledge did not process, as well as direct them to their Donor Management Portal.
